Get in Tip-top Shape with Our New M365 Health Checks

With great power comes great… you know the rest. If you’re running a Microsoft 365 environment, you’re pretty familiar with great power. And the great responsibility? It probably weighs on you like a ton of bricks. Keeping your environment secure, with the mountains of data that can accumulate in M365, is a huge and ongoing undertaking. But we’ve got a solution in the form of our new Health Checks feature.

Health checks are exactly what they sound like: a diagnosis of the current state of your M365 environment. They’re an automatic way to get insight into how your team is using M365, delivered in an easy-to-read dashboard or PDF snapshot. Armed with health checks, you can make informed decisions about security policies, storage management, and license changes—without manually combing through troves of data. Let’s take a look to see how health checks work and what they can do for you.

A History Lesson

One of philosopher George Santayana’s famous aphorisms is “Those who cannot remember the past are condemned to repeat it.” While he maybe, probably didn’t have office productivity software in mind, the thought applies well.

One of the problems with deploying and maintaining a large-scale M365 environment is that there’s just too much going on to draw conclusions from. And you can’t make decisions about the future effectively if you don’t have a good grasp on how things have played out in the past.

That’s one of the guiding principles of Health Checks. You've got a wealth of historical data like workspace growth, guest activity, storage usage, security evaluations, adoption trends, and permission settings. But it’s not easy to corral. At least, not without Health Checks.

They aggregate and evaluate these metrics and track their evolution over time. This gives you a way to see trends and take actions like adjusting licenses, changing security defaults, or archiving stale data.

Take It in Context

Your own organization’s history certainly provides helpful perspective. But this kind of data in a vacuum can only take you so far. As you look through stats on Teams engagement, storage, security status, adoption rates, and permissions, you may be left wondering whether you’re doing well or not.

This is where the special sauce of Health Checks comes into play: benchmarks. We’ve built Health Checks to provide comparison against past use of your tenant, but also compare them to similar organizations. For instance, if your report shows a dip in workspace activity, we’ll let you know whether that’s cause for alarm, or typical of organizations using Orchestry.

Platformer Speedrun

So instead of making you excruciatingly dig through your environment’s history, health checks bring the metrics straight to you. Just set the frequency—monthly, quarterly, semi-annually, or on-demand—and your reports will be automagically waiting for your review.

Better yet, when paired with Orchestry’s other new environment hygiene tool, Intelligent Recommendations, you can take suggested actions right from your report. The two are seamlessly integrated within the Orchestry platform, making the jump from information to action a speedy one. You even have the ability to create custom recommendations directly in health checks, streamlining the interplay between this powerful duo even further.

Welcome to the Collab

Even with scads of data digested into manageable chunks through Health Checks, you may need help poring through it. So we’ve built options to delegate the review process to a trusted partner or collaborate on a shared review.

Want to have someone else take a look? Share your health check securely with anyone on your Orchestry deployment. Got notes? Annotate the report so others can get your thoughts on the findings. Want to get feedback from a larger audience? Publish your health check snapshot to a PDF so anyone can review it, even if they’re not on Orchestry.

A Picture Is Worth a Thousand Datapoints

Okay, a thousand might be stretching it, but here are the categories of information you’ll see in your report:

  • Number of provisioned, archived, and renewed workspaces
  • Guest reviews and requests
  • Storage analysis by tenant, OneDrive, Exchange, and SharePoint, as well as purged data
  • Teams engagement, shown by peak daily users, channel messages, chat messages, reactions, and mentions
  • Leaderboard showing most active workspaces by storage, 30-day growth, files stored, conversations, page views, file views/edits, members, and guests
  • Notifications sent and users contacted
  • Sharing links, broken down by anonymous, organizational, secure internal, and secure guest
  • Time saved through Orchestry use by acting on recommendations, maintaining templates, provisioning new workspaces, managing guests, and handling workspace lifecycle and archival
  • Benchmarks:
    • Inactive workspaces as a percentage of total workspaces
    • Guest user counts
    • Microsoft Secure Score, a measure of your current security posture
