Step 2: Access the SharePoint Admin Center 

Once your Azure subscription is set up, head to the SharePoint Admin Center to manage site archiving. 

  • Go to the SharePoint Admin Center: You’ll find this in the Microsoft 365 Admin Center.
  • Select the sites to Archive: Identify the teams, communication, or project sites that are no longer active but still valuable. 

Step 3: Archive the SharePoint Site 

Now that you’ve identified a site, archiving is straightforward. 

  • Choose the Archive Site option: This is typically located under the site settings within the SharePoint Admin Center.
  • Confirm the Archive: Once archived, the site remains accessible for search and compliance, but further edits will be restricted. 

Step 4: Manage Archived Sites 

Archived sites will remain available for search and compliance purposes but are no longer editable, keeping essential content close at hand while reducing your environment’s clutter. 

  • Restoring Archived Sites: If needed, you can easily restore sites via the SharePoint Admin Center. Note that restoring incurs a reactivation cost, so be sure to evaluate these potential expenses ahead of time.

  • After Archiving: The cost drops to $7.50/month (150 GB @ $0.05/GB) for archived storage.

This gives you a 75% savings! However, restoring this site later will inur a one-time charge of $90 (150 GB @ $0.60/GB). In this instance, you’d need to keep the site archived for at least four months before restoring to avoid cancelling out your savings. 

Archiving only makes sense if data is infrequently restored. Over three years, archiving a 150 GB site costs $360, compared to $1,080 for keeping it active. The long-term savings are substantial if managed correctly.
